WHAT information do we collect from the individuals with whom we engage or who engage with us?
When making an online enquiry, applying for a job online, purchasing an item from our siopa, or applying for a place on one of our Irish language courses / programmes through our website, visitors will be asked to provide a range of personal information which may include for example, name, email address, postal address, phone number, gender, age group and / or other appropriate details to help us process the inquiry, purchase and / or application. When visitors are making a payment in relation to a booking deposit, course payment or a purchase, Coláiste na Rinne does not obtain, process or store financial details, rather the payee is directed to a secure payment platform which is clearly displayed to the payee.
We collect and process a range of information off-line from individuals, students and / or their parents / guardians which may include for example, name, email address, postal address, phone number, gender, age group and / or other details to help us process the inquiry and / or application. Some of the information requested is essential to the delivery of the services we offer where some is optional and indicated as so.
We provide individuals with the opportunity to join our mailing list by ticking appropriate boxes on forms used off-line. We also invite individuals to complete questionnaires / evaluation forms when they complete a course / programme at Colaiste na Rinne and the inclusion of personal data on these forms is optional.
HOW do we use the information we gather?
We use the personal information gathered via forms, digital and physical, for the specific purpose stated on the individual form. Typically, we process the information provided on forms in order to administer and deliver Irish language courses / programmes and associated events in the safest, healthiest and most enjoyable manner possible, for both residential and non-residential language learners.
In other cases we use the information gathered on a range of inquiry forms to repsond to inquiies in the most comprehensive and satisfactory manner as possible.
Where information which is not essential to the delivery of a specific course / event or to the processing of a specific inquiry, individuals are informed of the purpose of requesting this non-essential information and are given the option to provide the information or not according to their own preference. For example, an ‘opt-in’ question is included on selected forms, providing visitors with the opportunity to join Coláiste na Rinne’s marketing mailing list. In the absence of express permission being granted, individuals’ information will not be stored or processed by Coláiste na Rinne, other than in order to complete the specific inquiry and / or application or to deliver the service to the individual / group in question.
HOW do we protect personal information on our digital platforms and stored in physical files?
Personal information provided and stored digitally is contained behind secured networks and is only accessible by a limited number of persons who have special access rights to such systems, and are required to keep the information confidential. Computers are password protected with password being changed regularly. Computers also have a ‘sleep’ mode in operation to add a further layer of protection.
Financial transactions associated with course application and payment forms are processed through a gateway provider using encryption via a Secure Socket Layer (SSL) and no financial data pertaining to online payments are stored or processed on by Coláiste na Rinne via its network / servers.
Appropriate filing, transfer, archiving and deletion procedures are in place to ensure that personal information is handle with care, sensitivity and by the appropriate members of staff. Procedures are reviewed on a regular basis and updated as and when required.
Third Party Disclosure
We do not sell or trade data to or with outside parties. Personally identifiable information is transferred in the event of a payment being executed, in which case a gateway provider is used which deploys encryption via a Secure Socket Layer (SSL).
